OVERVIEW
Associated Students, Inc. (ASI) employs student-focused professionals with equity-mindsets. Established in 1963, Associated Students, Inc. (ASI) is a non-profit corporation led by a 14-member board of elected student leaders. ASI is an auxiliary organization authorized by the California State University Board of Trustees to perform Student Life functions for Cal Poly Pomona students. ASI provides opportunities for student engagement, student leadership and employment, and a multitude of Student Life programs and services e.g., recreation and wellbeing, student union and activities, student government, clubs and organizations, food pantry, and childcare. The administrative and student support areas of ASI include human resources, financial services, information technology, facilities management, and marketing. ASI employs approximately 500 part-time students and 60 full-time staff members. ASI accepts the responsibility for conscientiously managing mandatory student fees and state-owned facilities: $18M annual operating budget, $5M annual debt service, approximately $24M in reserves, and 294,253 square feet of student space (student union, recreation center, and pool). ASI is in the Cal Poly Pomona Division of Student Affairs with a dashed reporting line to Administrative Affairs. ASI serves the entire campus population, including over 28,000 students.

POSITION DEFINITION
The Associate Director for Student Government & Club Services is responsible for the strategic development, implementation, administration, and support of the ASI Student Government function and for building a new improved model for serving CPP recognized student clubs and organizations. Both require extensive collaboration within ASI and across the University. More specifically, with the Governmental Relations and the Division of Student Affairs: Student Engagement, Leadership, and Success (SELS), Student Conduct & Integrity, University Housing Services, Dean of Students, and the office of the Vice President for Student Affairs.
Under the general supervision of the ASI Executive Director, the Associate Director for Student Government & Club Services provides outstanding supervisory and coaching skills, ongoing training and development, and guidance, advisement, and support to Student Government leaders. The Associate Director fosters an atmosphere for student learning, leadership development, and collaboration and demonstrates an understanding of and commitment to mutual respect and appropriate roles of collegiality between students and staff within the context of a student-directed corporation. The Associate Director provides direction, supervision, and development of the full-time staff, part-time staff, and graduate assistants, as assigned. This position actively engages as an ASI extended leadership team (XLT) member and collaborates with respective university departments to support students. The Associate Director strategically develops relationships with campus and community partners who interact and guide ASI student leaders. With significant independent judgement, the Associate Director works collaboratively with the Student Governments Coordinator, ASI President, and ASI Vice President to establish an effective and professional organizational culture and equitable structures to meet the strategic goals of the CSU, CPP, and ASI. The Associate Director is responsible for establishing contemporary and cost-effective systems and processes for communication, continuity, and continuous improvement.
ESSENTIAL DUTIES
Student Government Essential Duties
Ensures adequate and effective administrative support for the ASI President and Vice President and for Cabinet and Board of Directors agendas, minutes, meeting schedules, background materials, and ensures compliance with the open meeting law, record retention, security, and archiving
Oversees the development and delivery of student leader curriculum and trainings
Develops and administers orientations and provides continuous support for incoming Student Government leaders
Oversees student leader recognitions, celebrations, and team building activities
Oversees the department’s performance to meet the objectives of the corporation and shared governance
Oversees the accurate, appropriate, and timely posting and archiving of governing documents including but not limited to Bylaws, Codes, student leader transition folders, and minutes in accordance with established procedures
Serves as a direct resource to ASI Student Government leaders and ensures various inquiries are responded to in a timely and professional manner
Actively seeks out, builds relationships, and connects student leaders to these resources from within ASI and beyond to ensure they are successful at meeting their goals
Proactively researches and shares information relevant to ASI Student Government and CSU matters affecting student interests
Works collaboratively with the President, Vice President, and staff members to ensure necessary support to carry out organizational goals
Guides and supports Student Government leaders in annual action planning and tracking of goal achievement, including those established to improve support and services for student clubs and organizations
Oversees the training of Student Government leaders, staff, and club services team members on ASI and departmental policies, procedures, processes, and expectations
Oversees the preparation and management of the Student Government and club services budgets to include managing and meeting expense and revenue goals, ensuring alignment with ASI’s guiding ideas, and sound fiscal stewardship of student fee dollars
Re-envisions the structure and processes for committee appointments for student leaders
Co-create a student leader advising model including selection, invitations, training, and support for both ASI and University advisors selected to serve as individual or committee advisors
Analyzes existing and researches and implements new technologies, as needed, to assist student leaders in the research, planning, and assessment of advocacy, outreach, and educational programs and reports out results through proper organizational channels
Oversees the coordination of communications regarding Student Government activity both orally and in writing by assisting and/or writing and reviewing print and electronic communication and advising on revisions
Establishes and adjusts as necessary the scholarship program and process for ASI student government leaders and compensation for staff
Actively and intentionally provides leadership development opportunities, resources, and coaching for Student Government leaders and staff; serves as advisor, confidant, and coach to student leaders
Club Services Essential Duties
In partnership and consultation with key stakeholders, enhance the vision and co-develop, implement, and manage a new improved model for serving and supporting CPP recognized student clubs and organizations
Provide leadership and oversee the data-informed development,?implementation, administration, evaluation, and assessment of inclusive, effective, and timely student experiences??
In consultation with internal and external key stakeholders, develop vision and administer innovative and effective student experiences through engagement in systematic strategic planning, goal setting, program, policy and procedure development, assessment, and program and service evaluation??
General Essential Duties
Provide personnel management and leadership for full-time and graduate assistant department staff including recruitment, selection, training, development, evaluation, coaching, and discipline?
Works collaboratively with ASI and University staff to develop, coordinate, and attend professional development workshops, trainings, retreats, and leadership experiences for Student Government and the club services team
Establishes and maintains systems to capture and retrieve organizational data and documentation to ensure historical context is understood and year to year continuity is viable
Oversee and support student employment development opportunities aligned with ASI’s student learning outcomes for Cal Poly Pomona students to support their future readiness
Directs all business aspects of the department including maintenance of accurate financial records and files, and development and monitoring of budgets
Prepare, present, and implement short- and long-term department goals to support the mission and vision of ASI???
Represents and serves as a liaison for ASI Student Government and club services on internal and external committees
Provide general oversight and guidance for department programs and services related to risk management, waivers, contracts, and insurance requirements ensuring compliance with the policies of ASI, Cal Poly Pomona (CPP), and the California State University (CSU) system
Performs other duties as assigned

QUALIFICATIONS
Bachelor’s degree in a social or behavioral science e.g., Student Affairs or Higher Education Administration, public or business administration, or related field; Master’s degree preferred
Minimum 5 years of progressive experience providing administrative and/or program oversight within a college or university setting; student government experience preferred
Five years’ experience supervising, mentoring, and/or advising college students leaders and/or employees
Experience working with a leadership/talent development program
Ability to exercise diplomacy and maintain sensitive and confidential information
Ability to guide and develop student leaders as it pertains to areas of student government
Advanced knowledge of general practices, programs, and/or administrative specialty in college student services; basic knowledge of and ability to apply fundamental concepts
Experience in budgeting, fiscal management, and reporting?
Ability to learn, independently interpret, explain, recommend, and apply a wide variety of policies and procedures relating to the applicable program(s), functions, organizational unit, and/or administrative specialty
Ability to independently gather and analyze data, reason logically, and draw valid conclusions; ability to perform research and recommend solutions to unique issues
Excellent interpersonal skills with the ability to interact effectively with students, customers, campus community members, vendors, and the public
