Departmental Overview
The ASUC Student Union is the campus 'living room,' offering everything from co-curricularopportunities to fun, creative activities. It serves all students and seeks to create an inclusivecampus community, thereby enhancing the student experience at UC Berkeley. To this end, weprovide quality services and programs that foster experiential learning opportunities and ensurea sustainable organization. We derive income from student fees, retail operations, vending, foodservice, and a variety of self-operated units such as the Art Studio, Creative Lab, and EventsServices. We manage and operate multiple facilities including the Lower Sproul Student UnionComplex, Anthony Hall and Anna Head Alumnae Hall, which house the ASUC studentgovernment, Graduate Assembly, Multi-Cultural Center, Public Service Center, LEAD Center,SERC, Basic Needs and much more. Finally, we provide financial and accounting services toapproximately 25 ASUC Government Officers, Graduate Assembly Executive Officers, and over1,400 student groups and 40 student publications. The Student Union is a department within theDivision of Student Affairs and reports to the Dean of Students.

Responsibilities
Reporting into Berkeley Event Services and the ASUC Student Union in the Division of Student Affairs, the Event Production Coordinator manages event production and event management of high-profile campus-wide events for students, staff, faculty, and external clients. The position is directly responsible for overseeing event production and set up in campus spaces including MLK JR. Student Union, Lower Sproul, Anna Head Alumnae Hall, Clark Kerr Campus Conference Center, and all campus outdoor green spaces such as Memorial Glade and West Crescent among others. This position utilizes strong leadership, management, and supervision skills to evaluate and oversee the day-to-day workflow of 30-40 Event Production student staff.
This position uses their skills as a seasoned, experienced events professional to provide comprehensive coordination and management oversight of moderately complex events and venues. This position generally works independently and frequently under the pressure of time and rapidly changing priorities. The work requires the incumbent to have knowledge of University systems, policies, and procedures. The incumbent is required to practice excellence in judgment and political acumen.
In addition, the position is responsible for Berkeley Event Services' production equipment inventory: tracking, storing, maintaining, and overseeing the repair and replacement of inventory and assets, as well as managing equipment inventory in EMS.
The event management support is for high visibility campus-wide programs that include Homecoming Reunion Weekend, Cal Day, Summerfest, Caltopia, Free Speech Week, and Admissions Yield Recruitment and Outreach.
Because this position oversees the production of events on campus, this position will often work late nights and weekends. The work schedule can be adjusted according to the weekly event needs. This position requires active engagement in UC Berkeley's mission, vision, and values in addition to delivering an excellent customer service experience.
Student Staff Supervision - schedule interviews, and participate in interviews and selections.
Submit the required information and work with the Student Union Office Manager and Human Resources to hire students.
Develop student staff training materials.
Train and mentor student staff.
Evaluate student staff and conduct regular performance appraisals.
Direct student work and assign duties daily.
Serve as next-level support for escalated issues from student staff.
Oversee the setup & breakdown of events.
Participate in meetings to advise on event production and audio & visual (A/V) needs.
Develop and maintain event production inventory and A/V systems.
Compile and manage detailed records of event production inventory.
Engage in long-term strategic planning and efforts to continuously identify and implement opportunities to enhance Berkeley Event Services venues, upgrade event production equipment, and develop A/V services.
Work and collaborate with Student Union Facilities Management and Operations (SUFMO) department and UC Berkeley Facilities to maintain the Berkeley Event Services venue's appearance and function.
Ensure proper usage of Berkeley Event Services venues for meetings and events.
Participate in planning, organizing, and staffing larger or more complex events; assisting Event Coordinators during high-profile events such as Summerfest, Golden Bear Orientation, Caltopia, and Yield Recruitment programming.
Ensures smooth-running, effective events, including leading the successful resolution of potential and real problems in a timely manner using tact, sensitivity, discretion, and political acumen.
Required Qualifications
Thorough knowledge and understanding of concepts, principles, and practices of event planning and public relations, including event design, organization, and production.
Thorough knowledge of or the ability to gain knowledge of the campus, its vision, mission, programs, policies, achievements, and infrastructure.
Knowledge of or the ability to gain knowledge of University policies and procedures relating to the use of University facilities, event management, and presentation.
Skill in effectively meeting budget and time constraints.
Demonstrated organizational and project management skills to work successfully with clients to produce high-quality events that meet client needs and appropriately represent the campus for fundraising events.
Skills to provide excellent donor stewardship.
Highly developed interpersonal communication skills including political acumen and social perceptiveness.
Excellent verbal and written communication skills to effectively communicate with diverse populations with competing priorities.
Highly developed judgment, decision-making, and problem recognition/avoidance/resolution skills, including skills in determining those issues/problems that need to be brought to management's attention.
Knowledge of principles and practices of volunteer and student staff recruitment, supervision, motivation, and evaluation.
Proven ability to work on several tasks simultaneously.
Skill at responding effectively to priorities and setting deadlines.
Experience maintaining a high standard of productivity within a broad scope of responsibility despite frequent interruptions.
Ability to complete a large volume of diverse tasks efficiently, meeting established deadlines.
Ability to effectively work with invited guests, donors, government officials, and university VIPs.
Knowledge of crowd management, crowd safety protocols, security, and emergency procedures related to small, medium, and large-scale gatherings.

Salary & Benefits
This is a full-time (40 hours per week), career position that is eligible for full UC benefits.
This position is exempt and paid monthly. The annual salary for this role is commensurate with experience within the range of $67,000.00 - $93,100.00.
